02The Challenge
Every part of the operation worked. None of it talked to any other part.
- Content lived in files, not a course Lessons were folders of documents and videos with no sequence, no completion tracking, and no way to tell if a student had actually gone through them in order.
- Live classes left no trace Sessions ran on a generic video call tool. Once the call ended, so did the record. No attendance, no recording tied to the right lesson, nothing a parent could refer back to.
- Progress was whatever the tutor remembered Good tutors kept mental notes. Nothing was structured, nothing was comparable across students, and nothing survived a tutor leaving.
- Parents had no visibility The only way to find out how a child was doing was to ask, which meant most parents simply didn't know until a report card or a difficult conversation.
- Scheduling was a group chat Class times, changes and cancellations were coordinated over WhatsApp, which works until you're running more than a handful of classes a week.
- Payments sat outside everything else Enrolment, attendance and billing had no connection to each other, so nobody had a clean view of who had paid for what they were actually attending.
03Our Approach
We started by watching a week of classes rather than reading a requirements document. Some of the real workflow only showed up once we saw a tutor actually run a session.
- Structure content into real courses Lessons in sequence, with prerequisites and completion tracking, so the platform knows where a student actually is rather than trusting them to say so.
- Build live classes into the platform Not a link out to another tool. Sessions launch from inside a course, get recorded automatically, and attendance is logged without a tutor having to remember to take it.
- Make progress a byproduct, not a chore Quiz scores, completion rates and attendance roll up into a student record automatically. Tutors add qualitative notes on top, but the data backbone doesn't depend on anyone remembering to fill in a form.
- Give parents their own view A separate login, deliberately limited to what a parent needs: progress, attendance, upcoming sessions and messages from the tutor. Not the whole platform, just the slice that matters to them.
- Connect scheduling to everything downstream A class change updates the calendar, notifies enrolled students, and adjusts attendance expectations in one action instead of four separate ones.
04What We Delivered
Structured Courses
Sequenced lessons with prerequisites, quizzes and completion tracking. A course a student can actually progress through, not a folder they scroll.

Sessions run from inside the platform, recorded automatically, with attendance logged without anyone having to remember to do it manually.
Parent Portal
A limited, purpose-built view of a child's progress, attendance and schedule. Parents stopped having to ask and started just checking.
Tutor Dashboard
Class rosters, student history and note-taking in one place, so a tutor walks into a session already knowing where a student left off.
Unified Scheduling
One calendar driving classes, notifications and attendance expectations, replacing a group chat that everyone eventually stopped reading properly.
Enrolment and Billing
Enrolment, attendance and payment status connected, so a lapsed payment and an active enrolment can't quietly drift apart from each other.

08Conclusion
Most of what this project fixed wasn't visible to a student sitting in a class. It was visible to a parent checking a phone at ten at night, finally able to see what their child had actually done that week. The lesson we keep relearning on projects like this is that the interesting problem is rarely the front-end feature list. It's making sure the record of what happened survives the moment it happened.

The record-keeping. A course, a class and a grade only mean something if they're tied to a specific student's history over months or years, and that history has to stay accurate even as tutors, classes and content change around it. Most of the design effort goes into that structure, not into how a button looks.
Because a generic video call has no memory. It doesn't know which course the session belongs to, it doesn't log attendance against the right student, and the recording, if there is one, lives somewhere disconnected from the lesson. Building it in means every session is automatically part of the record instead of something somebody has to file away afterwards.
Role-based access, deliberately narrow. A parent login can see their own child's progress, attendance and schedule, and nothing else. It's a different view of the same data a tutor and admin see, scoped down to what's actually useful and appropriate for a parent to have.
Yes, and that was a core requirement rather than an add-on. Courses, classes and tutors are all modelled as separate, related entities, so adding a new subject or a new tutor doesn't mean touching the parts of the system that already work.
From what students and tutors do inside the platform: quiz results, lesson completion, attendance. It rolls up automatically rather than depending on a tutor filling in a separate report, which is both less work and more reliable, since it can't be forgotten.
Enrolment, attendance and billing status are connected, so a lapsed payment shows up against the right student rather than living in a separate system nobody cross-checks. The specific payment processor is chosen per client based on region and existing arrangements.
Longer than a typical course-listing website, shorter than a full enterprise LMS. The course engine, live class integration and progress tracking are the parts that take real time. A first working version covering the core workflow is realistic within a few months, with the parent portal and finer reporting following once the core is proven.
